Follow each customer through one record. Keep contact details, treatment history and package entitlements together, and use dated, factual service notes instead of vague comments.
1. Collect only what you need at the first booking
Start with a name and appropriate contact details. Do not create another record for the same person just because a new form is open; search for an existing record first. When names are similar, confirm contact details with the customer to avoid using the wrong history.
Use fields according to your service needs. Collecting unnecessary personal information or filling notes with unrelated details does not improve organisation. Explain clearly why you need the information you request. This guide is not a legal compliance assessment.
2. Separate contact details, history and notes
Keep phone numbers and email addresses in contact fields, completed treatments in appointment history and service explanations in dated notes. When a number changes, you should not need to search old treatment notes to find it. The team can follow one structure rather than recording the same information in different ways.
Replace vague comments such as ‘was unhappy’ with the issue raised and the action taken. For example: ‘12 October: requested an evening slot for the next visit; time options to be discussed.’ This leaves the next staff member a concrete next step.
| Information | Where to keep it | Example |
|---|---|---|
| Contact details | Customer information | Current phone number or email |
| Completed treatment | Appointment history | Facial — completed |
| Service note | Dated customer note | Confirm preferred time at the next visit |
| Remaining entitlement | Customer package | 8 total, 3 used, 5 remaining |
3. Review the history before the appointment
Before arrival, check the customer’s last appointment, active package and relevant service notes. This can reduce unnecessary repeat questions. However, do not let an old record replace today’s preferences; confirm information that may have changed with the customer.
If several staff members serve the same customer, individual accounts can support a shared record routine. Assess who needs access to which information separately. Do not assume notes are private or visible only to particular staff without checking the system’s permissions.
4. Keep the post-visit record concise and factual
Mark the treatment as completed, check its package association and add any note needed for the next visit. A date, observation and next action are often more useful than a long conversation transcript. When editing a customer or treatment name, check that you are working on the correct record.
Create a short review routine instead of relying on memory for every follow-up. Check records for customers whose next appointment was discussed at the previous visit. In an application without automated messaging, creating a record does not mean the customer received a notification.
5. Transfer older records in manageable groups
Begin with customers who have upcoming appointments or active packages. Identify possible duplicate records, and confirm the history and your backup before merging or deleting anything. Starting with a small group gives the team a chance to practise the new routine rather than moving the whole archive overnight.
Your daily checklist
- Was an existing customer searched for before adding a new record?
- Are contact details current and confirmed?
- Are appointments and packages linked to the right customer?
- Are notes dated, factual and relevant to the service?
- Is the next step for the following visit clear?
How BeautyPlan fits this workflow
BeautyPlan brings a customer’s contact details, appointments, packages and notes together on the customer detail page. Administrator and staff accounts can work with the records of the same business. Automated Instagram DM collection and WhatsApp messaging are not included in this version; manage communication on those channels separately from the customer record.

Do I need to move all older customers at once?
You can start with active packages and upcoming appointments. Compare transferred information with existing records, and verify the history before deleting or merging anything.
What should I write in a customer note?
Use dated, factual information needed to continue the service. Keep contact details in the relevant fields and balances in package records; avoid unnecessary personal details.
